What Countries do you
serve? The United States and Canada.
Do you sell or distribute my information to
third parties? We will never sell, distribute or disclose any personally identifiable data
that we manage in your group, tour or individual profiles or any of the data that you manage in our
workbook. Review our Privacy Policy by following the link at the bottom of this page.
Will you charge us for anything? The only service that we charge for is emergency
services. The charge is $35.00 per hour.
Why does the registration process require
responding to an e-mail? We send your information to the e-mail address you enter at
registration time and have you follow a link in the e-mail to activate your account. This allows us
to make sure that we have a valid e-mail address for you. We need to have a valid address to allow
us to notify users of impending system outages or new features.
Do you have the cheapest
hotel rates? No. Hotwire and Priceline have the cheapest rates. But you cannot cancel or
change them. If dates change or a tour cancels you will lose all of your prepaid hotel room
costs.
How do your room rates compare to discount online travel providers? Hotels
have developed better systems to manage their room inventory. There is not much difference from one
"discount" travel provider to another on any given day. In some cases we may be a couple of dollars
more than other travel providers. In other cases we may be a few dollars cheaper.
Why can
hotel rates fluctuate so much from day to day? Hotels have the ability to manage rates on a
daily basis. It is a volatile market and they adjust the rates up or down based on their occupancy
projections. If occupancy is up for a particular date they will raise rates. If volume is down they
discount accordingly. This is a very inexact process and explains why you will see rates fluctuate
from time to time.
Can I use Roadvisor if I do not book hotels through you? No.
We are able to give you the Tour Management Tools because of the income we receive from
hotels.
Why do I have to enter a credit card number to register? The system is
set up to automatically guarantee your reservation with your credit card whenever you book hotel
rooms. We do this to insure that your reservation will be there when you need it. If you have a
guaranteed room you are less likely to get bumped if the hotel gets full.
Do I have to
call the hotel to re-confirm my reservation? ABSOLUTELY! Although
our booking engine does make the reservation with the hotel and return confirmation numbers, hotels
are by nature extremely dysfunctional operations and they can and will make mistakes. To insure
that you will not have a problem checking in you want to do the following:
- Call the hotel one week prior to arrival to confirm reservations are in the system. Have your
Roadvisor confirmation numbers ready.
- Call the hotel 24 hours prior to check-in and again confirm your reservations.
- Tip Get the name of the person that re-confirmed your reservation and
get the name of the front desk clerk that will be on duty when you check in.
How do I make changes to existing hotel reservations? Once you have initially made
your reservations through Roadvisor you will need to call the hotel to make any changes. This
includes adding, releasing or changing rooms. Tip Always write down the
name and number of the person that you made the changes with and the time and date of your
conversation. The final step is to change your hotel "Rooming Costs" record in the Workbook. If you
are cancelling the entire stay, follow the "Cancel Reservation" link on the Rooming Costs screen of
the Workbook.
Why should I create individual tours? By creating specific tours
you can generate tour budgets and assign group members that are going on that tour.
Why
do I want to manage my tour member information? This information is used for various system
features including the rooming list.
Can I let other people view my information?
As the primary user, you can add three different user types to access information for your
group. You can add additional "All Access" users that have the same permissions that you have to
add, change or delete information. You can add "Financial Access" users like your bookeeper that
can view and modify financial related data. You can add "Itinerary" users that can only view
itinerary related data like show and Venue information, Hotel contact data and travel data.
Why do I need to create a master rooming list? This Master list will be
associated with every hotel that you book. You will be able to change this list based on individual
room requirements in each.
What if I can't find my venue in your database? At
the bottom of the Venue Selection page is a link that says "add a venue that is not in the
database"
What can the financials do for me? The financials can do as little as
show your hotel costs or as much as providing you with a detailed tour profit and loss
projection. Tip If you input guarantee and percentage monies into our
"Show Financials" on the "Show " page and use our "Edit Additional Costs" on the "Financial" page
you can determine your tour profitability BEFORE you leave town. This will make you smarter and
allow you to make better critical decisions.
